What's included matters more than the number. At those rates, our clients get 24/7 monitoring, a 15-minute response guarantee (in writing — more on that below), cybersecurity protection, Microsoft 365 management, help desk, and backup/disaster recovery. When you compare providers, compare the included list, not just the per-user rate — a cheap seat price with security sold separately usually isn't cheap.
2. Break-fix (hourly)
You call when something breaks; you pay by the hour. Cincinnati-area rates typically run $100–$250/hour depending on the shop and the urgency.
Break-fix looks cheaper until the month something real happens. A server failure that takes two days to resolve isn't just 16 billable hours — it's two days of your team not working. Break-fix can still make sense if you're under ~5 employees with genuinely simple needs. Above that, the math almost never holds.
3. Projects (fixed quote)
Office moves, server migrations, new phone systems, security camera installs — these are quoted per project. Any provider worth hiring will give you a fixed number in writing before work starts. If you're getting "time and materials" on a project with no cap, keep shopping.
What Actually Moves the Price
Two 20-person Cincinnati businesses can have very different IT bills. The honest drivers:
- Compliance requirements. HIPAA for medical and dental practices, cyber-insurance security mandates, SOC 2 prep — regulated IT costs more because there's more to do and document.

After 15+ years in this market, here's what we'd ask any provider — including us — before signing:
- "What's your response time guarantee, and what happens when you miss it?" Get it in writing. Ours is 15 minutes, and if we miss it, we credit that month's service fee for the affected user or device. If a provider's guarantee has no consequence attached, it's a goal, not a guarantee.
- "How long is the contract?" Most Cincinnati MSPs require 1–3 year agreements. Everything we do is month-to-month — our 98% client retention is why we can afford to work that way. A provider that needs a 3-year lock-in is telling you something about how confident they are you'd stay voluntarily.
